Data minimization is most useful as a preparation habit. Write down the question the recipient or application needs to answer, then select the material that supports that question. Include relevant qualifications and context, but remove unrelated records, attachments, and private notes from the working copy. Keep the untouched source where the project requires a reliable reference.
The AI upload article provides a practical setting for this review. Use its approach to inspect document pages, spreadsheet tabs, comments, and embedded material before sharing with a tool. Record what you removed and why if another reviewer needs to understand the prepared input. A smaller file is not automatically a better source; it still needs enough evidence to support the task accurately.
After processing, apply the same purpose test to the output. A summary, extracted table, or transcript can repeat information that was only needed temporarily. Choose the intended audience and destination before forwarding it. For recurring work, document the selection rule and test it against a case with an important exception so cleanup does not silently remove the detail that changes the answer.
